Move stock between warehouses

Transfers, and the one field that decides whether any stock actually moves.

Stock transfers is a plan feature. If your sidebar does not show it, your plan does not carry it: open Billing and Subscription, then Change plan, and the screen names the plan that includes it. The pricing page compares all four plans.

A transfer moves stock from one of your warehouses to another. Nothing is bought and nothing is sold, so the total the business owns does not change. Only where it sits changes.

You need more than one warehouse for this to be useful, and how many you may have is set by your plan.

The form warns you to choose carefully, because Status is what decides whether any stock moves.

StatusWhat happens to stock
PendingNothing moves at either warehouse until somebody approves it
SentStock leaves the source warehouse only. It is in transit
CompletedStock leaves the source and arrives at the destination
  • Transfer, then Add Transfer.
  • Set From Warehouse and To Warehouse. They cannot be the same.
  • Choose the Status, reading the sentence underneath that says what it will do.
  • Search products into the Order Table with Select Product, and set the Quantity on each line.
  • Add a Shipping Cost, a document and a Note if you need them.
  • Press Save transfer.

If a line is above what the source warehouse holds, the screen warns you and still lets you save, because the server does not refuse it today. That leaves the warehouse with a negative figure. Fix the line rather than saving through the warning.

Open the row menu and choose Approved. The confirmation says the stock leaves the source warehouse and arrives at the destination, and the status becomes Completed. It cannot be set back to Pending afterwards.

Only an owner or an administrator sees that action. If it is not in your menu, your role does not carry it.

  • The Email Sent column is the notification to the two warehouses, not the movement. It is sent once when the transfer is created and there is no way to send it again.
  • Import Transfer By CSV makes one transfer out of one file, not one per row. The warehouses, the status, the shipping cost and the note come from the form, and the importer does not handle variants, batches or serial numbers. Use Add Transfer for those.

Deleting a transfer reverses the movement at both warehouses first, then removes it for good. There is no bin.
